This Privacy Policy describes how Sofrena ("Sofrena," "we," "us") collects, uses, and shares information when you visit sofrena.com, join our mailing list, complete our surveys, purchase memberships or tickets, or attend our programs and events (the "Services").
A note before the fine print: Sofrena is an education company. We are not a healthcare provider, we are not selling your information, and we never will. We collect the minimum we need to run Sofrena well.
1. Information We Collect
Information you give us: contact information (your name and email address when you join the list, register for a program, or contact us); survey responses (answers you choose to share in our surveys, which may include information about your experiences with perimenopause and menopause — sharing this is always voluntary and collected only with your consent); registration and payment information when you purchase a membership or ticket (payment card details are collected and processed by our payment processor; we do not store full card numbers); and questions you submit for expert sessions or forums.
Information collected automatically: we use privacy-respecting analytics to understand site traffic. Our analytics do not use cookies to track you across other websites. We do not collect information from your device's health apps, and we do not buy data about you from third parties.
2. How We Use Information
We use your information to: provide and improve the Services; send you the newsletter and updates you signed up for; register you for programs and events and process payments; respond to your questions; plan content and programming (using survey responses in aggregated or de-identified form wherever possible); maintain the security of the Services; and comply with legal obligations. We do not use your information for targeted advertising, and we do not sell or share your personal information for advertising purposes.
3. Health-Related Information
Because of what Sofrena is about, some information you choose to share — survey answers, questions for experts — may reveal information about your health. We treat this with extra care. Sharing health-related information with us is always optional and collected only with your consent. We use it only to operate and improve Sofrena's educational programming, in de-identified or aggregated form wherever feasible. We do not sell it, do not use it for advertising, and do not share it with data brokers — ever. Sofrena is not a healthcare provider and is not a "covered entity" under HIPAA; the protections that apply to your information are those described in this policy, our Consumer Health Data Privacy Policy, and applicable consumer privacy laws. 4. How We Share Information
We share personal information only with: service providers who help us run Sofrena — our website host and security provider, our email platform, our survey tool, and our payment processor — each only as needed to perform services for us; professional advisors (lawyers, accountants) under duties of confidentiality; legal and safety recipients when required by law, subpoena, or to protect the rights, safety, or property of Sofrena, our users, or others; and, if Sofrena is involved in a merger, acquisition, or sale of assets, the successor entity, subject to this policy's commitments. We do not sell personal information, and we have not sold personal information in the preceding 12 months.
5. Email Communications
Every marketing email we send includes an unsubscribe link, and we honor opt-outs promptly as required by the CAN-SPAM Act. Unsubscribing from the newsletter does not affect transactional emails (such as ticket confirmations).
6. Data Retention
We keep personal information only as long as needed for the purposes described above: mailing-list information until you unsubscribe (plus a suppression record to honor your opt-out); survey responses for up to 24 months, after which they are deleted or de-identified; and purchase records as required by tax and accounting law.
7. Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information, including encryption in transit (TLS) and access limited to those who need it. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.
8. Children
The Services are intended for adults and are not directed to anyone under 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
9. Your State Privacy Rights
Depending on where you live, you may have rights under state privacy laws, including the Oregon Consumer Privacy Act, the California Consumer Privacy Act (as amended by the CPRA), and similar laws in Colorado, Connecticut, Virginia, Texas, Montana, and other states. These rights may include the right to: know or access the personal information we hold about you; correct inaccurate personal information; delete your personal information; obtain a portable copy of your information; opt out of targeted advertising, sale of personal information, and certain profiling (note: Sofrena does not do any of these); non-discrimination for exercising your rights; and appeal a refusal where state law provides an appeal right. You may appeal our decision on any request by replying to our response with the word "Appeal"; we will respond within the period required by your state's law.
Washington and Nevada residents: Washington's My Health My Data Act and Nevada's consumer health data law provide specific rights regarding "consumer health data," including the rights to access, delete, and withdraw consent. These are described in our Consumer Health Data Privacy Policy.
California "Shine the Light": California residents may request information about disclosures to third parties for direct marketing purposes; we do not make such disclosures.
To exercise any right, email us at privacy@sofrena.com with your request and the state you live in. We will verify your identity (usually by confirming control of the email address associated with your information) and respond within the time required by your state's law (generally 45 days). You may use an authorized agent where your state's law permits.
10. Do Not Track / Opt-Out Preference Signals
Because we do not sell personal information or engage in targeted advertising, opt-out preference signals such as Global Privacy Control do not change how we treat your data — there is nothing to opt out of. We honor "Do Not Track" by not tracking you across other sites in the first place.
11. Changes to This Policy
We may update this policy from time to time. The Effective Date above reflects the latest version, and material changes will be noted on the Services. Where required by law — for example, for new uses of health-related information — we will obtain your consent.
